SERVICE PROVIDER POLICY
The Solutions Factory Ltd is a “Data Controller” for the very limited amount of data we hold on our employees and our own customers. But we have a much larger responsibility as a “Data Processor” because we manage a much larger set of personal data for our customers on their customers, players, students, community associates and employees.
For this larger set of data we are only considered a data processor and not a data controller because:
1. our customers decide what info they wish to collect,
2. they collect it themselves (via paper forms or via their web site)
3. we only process the data for our customers benefit and not for other purposes of our own.
This policy sets out how we seek to protect personal data in line with the General Data Protection Regulation (GDPR) effective 25th May 2018 and in particular as a “Data Processor”.
Servers
The Solutions Factory servers are based in Wales, England and on a cloud based back system provided by a third party Solarwinds MSP.
Domains
As part of our service to customers, we register domains on your behalf with 1&1. Please refer to 1&1 terms and conditions.
Email / Newsletter Platform
Authorised Solutions Factory staff will have access to our customers’ data for maintenance and developments purposes and in accordance with our privacy policy. The Solutions Factory has no contractual relationship with the recipients of the marketing or other communication sent by our customers through our platform.
We require our customers, to use our platform only for permission-based email marketing. If you believe you have received unwanted, unsolicited messages sent through our platform (or purporting to be sent through our platform), please forward a copy of that message with your comments to enquiries@solutions-factory.co.uk for review.
Opt-out of Emails from this Sender
Any emails you receive through our platform include an easy, automated way for you to cease receiving email from the sender or to change your expressed interests.
Collection and Use of Information from Campaign Recipients and Tracking
We collect any information uploaded to our platform by our customers, including your email addresses or contact information and any campaigns our customers send you. Campaigns sent from our platform may include a clear gif, which allows us to determine if you open an email, as well as what you click on, the email delivery status and geographic location. We also collect log data, including your IP address, browser type and version. We share this information with our customers so they can optimize their campaigns, customize offerings to you, understand your level of engagement with them and any other uses the sender describes in its online privacy policy.
Clear gifs can be refused when delivered via email by disabling HTML images or refusing HTML (select Text only) emails via your email software. The Solutions Factory is the owner of the data collected through clear gifs, cookies and other tracking technologies present in campaigns.
How The Solutions Factory use data collected
We will never email you on our own behalf. We may provide any information we collect about you to our customers and use any of it to provide our products and services, to improve our products and services, in connection with our security and compliance programs or for any other legal reason (including as described in our Privacy Policy and our website Cookie Policy).
